Administrative Assistant: Cape Cod Tech Council

Position Available: Administrative Assistant
Status: Part-time, approximately 20+ hours/month
Reports to: President

Overview

The Cape Cod Technology Council seeks an Administrative Assistant to help manage and execute routine tasks for the organization. The ideal candidate will be customer-service oriented, have strong verbal and written communication skills, possess strong organizational capability, be self-motivated, comfortable with typical business software, including database management, word processing, spreadsheet and email list management, and be able to manage his/her own schedule.

Travel to local CCTC events, one to four times per month, is required. This includes our monthly morning First Friday breakfast event, quarterly evening socials, Annual Dinner, and other special events as may be deemed necessary.

Specific Functions:

First Friday and Other Event Registration, Promotion Support

  • Help coordinate the location and scheduling of event venues and provide needed information to complete arrangements
  • Gather attendee list prior to the event, verify membership status of attendees
  • Provide attendee numbers to venue to plan on seating, food, other requirements
  • Ensure availability of contact information in the event of a schedule change
  • Support mailing of announcements to media, target audience, other organization calendars/newsletters as directed
  • Manage the sign-in desk at the event, usually with assistance of a Board member or other volunteer
  • Ensure signs are posted, badges returned, materials picked up, other event close-out functions performed
  • Perform follow-up tasks, such as adding new visitors to email list, providing prospect info to the Membership committee, etc.

Website and Email Marketing

  • Add new events to the website as they become available
  • Add news items to the website as provided by authorized contacts
  • Manage the Constant Contact email newsletter
  • Review the website and maintain it up-to-date with organizational and other changes
  • Manage social media presence: Facebook, LinkedIn, Twitter, YouTube

Membership Management

  • Send out prospect materials, both by mail and email, as directed by the Membership Committee co-chairs
  • Send out renewal notices at the end of the year
  • Send out reminder notices and make renewal follow-up phone calls as needed
  • Send out new member packet to new members

Committee Support

  • As time permits, provide administrative support to the Council’s other committees as requested and as approved by the President, including Marketing, Programming, Outreach, Strategic Planning, Finance, Education, and Infrastructure Committees

Travel Requirements

Travel to CCTC events is required. Mileage expenses will be reimbursed for events held beyond the Mid-Cape area (Dennis, Yarmouth, Barnstable).

Equipment/Workplace

The CCTC will provide an organization-owned laptop with the necessary software for use in performing job. The employee will be required to use his or her own printer and telephone. When not at events as required, individual will work from own dwelling unless CCTC directs otherwise. Other required materials will be provided or authorized to be obtained for which individual will be reimbursed.

Physical Requirements

Must be able to carry boxes up to 25 pounds, post banners, and stand for periods of time at event locations.
